What we collect, and what we don’t
This site is run by the trip organizers for Sauganash Grade 8 families. It collects as little as it can, and nothing about a student is ever published.
The trip interest form
The interest form is for a parent, guardian, or another adult the family has authorized. It is not for students to fill in.
When you send it, we keep:
- your email address;
- your name;
- your student’s name, as you typed it;
- your three answers about the trip, fundraising, and chaperoning;
- which form and privacy-notice versions applied when you sent it; and
- the date you sent it, and the date you last changed it.
That is the whole list stored by the site. We do not keep your IP address, your browser, or the page you came from alongside your answers. The committee-copy rule below applies if an organizer downloads a confidential report.
What it is used for
Only to plan this trip: how many families are interested, how many might help with fundraising, and how many adults might want to learn about chaperoning.
Answering does not reserve a place, commit you to paying, apply to be a chaperone, or add you to the email announcement list. Those are separate, and you would have to ask for each of them.
Who can see it
Individual responses are visible on this site only to trip organizers after they sign in. Everyone else — including anyone who finds this site — sees nothing here. Organizers may prepare a summary report containing only counts or, when operational planning requires it, a confidential report containing your name, your student’s name, your email address, and your answers for the authorized parent committee.
We do not sell this information, use it for advertising, or publish it. There are no trackers, no advertising pixels, and no third-party analytics on this site.
How long we keep it
The form closes on 31 January 2027. Every response carries its own deletion date. Anything the site keeps that could identify a family is deleted or stripped of identifying detail by 31 December 2027.
A confidential report is a committee planning copy, not a backup. Authorized committee members must delete their copies when they are no longer needed and no later than 31 December 2027. If a family asks for deletion after a named report was shared, the organizer will ask every known holder to delete that copy too.
Your choices
To see what we hold about your family, correct it, or have it deleted, write to [email protected]. If your request is about the interest form, please say which student it concerns so we can find the right response.
The email announcement list
The announcement list is separate, and it is also for adults only. We keep the address, the date consent was given and confirmed, and whether the address is still subscribed — nothing about a student. You can unsubscribe at any time. Every message includes a link that removes you straight away, with no sign-in.
After the trip and final distribution of the trip funds, we will permanently delete all subscriber email addresses and private mailing-list records. This will happen before January 1, 2028. Public copies of trip announcements may remain, but they contain no recipient addresses or private delivery information.
Students
This site does not collect information from children, does not publish a student’s name, and does not put a student’s name in any web address, email, or public page. A student’s name reaches us only when an adult types it into the interest form.
If a security incident ever affected this information, we would handle it under the school’s requirements and Illinois law.
Questions
If the school directs this collection or treats these responses as school records, its administration should review this notice and how the data is handled. This page describes what the site does; it is not legal advice.
